Client Merge History

Client Merge History is a list showing all clients merged in CAREWare, displaying which client record was retained (kept), which record was secondary (merged), and which provider the client records existed in at the time of the merge. The list can be filtered by provider or other details about the merged record. The list can also be exported for review.

 

To access the Client Merge History, follow these instructions:

 

  1. Log into Central Administration.

  2. Click Administrative Options.

  3. Click Data Oversight.

  4. Click Client Merge.

  5. Click Client Merge History.

 

In this example, the client Test Test had an incorrect DOB and was merged to retain the client with the DOB of 01/01/1990. The user that completed the merge is listed in the user column. The provider is listed in the provider column.

 

 

 

Since the Central Client Merge process involves clients from all providers, the provider for both records may be different at the beginning of the merge process. The client record for Test Test with the correct DOB may have been active in the Default provider and the client with the incorrect DOB may have been active in Kevin's Clinic. Once the merge occurs, both copies of the client record are merged in both providers. The records that existed for the client with the incorrect DOB in Kevin's Clinic are added to the client record with the correct DOB and that copy of the record is mapped to Kevin's Clinic. Once the merge is complete, searching for the client using the URN with the correct DOB, TSTS0101902U, would show the client in the Default and Kevin's Clinic providers.
