CAREWare administrators can set restrictions on specific users viewing PII data and PII data exported using custom reports. To set the restrictions, a CAREWare administrators needs to create a User Group Admin (Reports) setting, select which report fields are to be restricted, and assign that group to users to enable it. Each field selected results in that field lacking a result in reports. CAREWare comes with two of these groups by default, Default User Group (zero restrictions) and PII Restricted Group (PII fields restricted). By default users are assigned to the Default User Group allowing for reports to include PII fields when run. If users are assigned the PII Restricted Group, users would see x's in the place of the fields, name, DOB, last name, gender, first name, and eURN). Additional fields can be selected in that group or a new group can be added with a custom list establishing other fields as restricted, which can include any field in custom reports like screening results, address, diagnosis, custom fields, etc.

 

To setup Custom Report Field Restrictions, follow these instructions:


 

  1. Log into Central Administration.

  2. Click Administrative Options.

  3. Click Advanced Security Settings.

  4. Click User Group Admin (Reports).

  5. Select a User Group.

  6. Click Manage.

 

 

  1. Click Edit Group Restrictions.

 

 

  1. Enter the custom field selection in the search field.

  2. Check Granted for that Report Field.

  3. Click Save.

 

Users that are assigned this custom field restriction group in their user account under Manage Report Field Restrictions are unable to see values for that custom field selection in custom reports.

 

To assign a custom report field restriction group to a user, follow these instructions:

 

  1. Click Administrative Options.

  2. Click Provider User Manager.

  3. Click Manage Providers.

  4. Select the provider.

  5. Click Manage.

 

 

  1. Click Manage Users.

  2. Select the user.

  3. Click Manage.

  4. Click Manage Report Field Restrictions.

 

 

  1. Click Manage Restrictions.

  2. Check Granted for a Group Name.

  3. Click Save.



 

At this point the custom field selections are listed as Report Field Restrictions for the user. The user should see an * where there would be a result in a custom report for those fields.
