To create regular updates of RSR data to another CAREWare server, the other CARWare server needs to have a provider set up for the provider that is sending the data. Once that is done, data can be exported from the sending provider and imported to the receiving provider by logging into the sending provider’s CAREWare instance to export the data and then logging into the receiving provider’s CAREWare instance to upload the data.

To complete a provider data export follow these instructions:

  1. Log into the provider.
  2. Click Administrative Options.
  3. Click Data Import and Export features.
  4. Click Provider Data Export.
  5. Click New Export.
  6. Select the settings listed above.
  7. Click Export.

For additional instructions for the Provider Data Export process, click here.

The following settings and tables can be used to export one year of RSR data.

A zipped set of CSV files are then exported. That downloaded zip file can be uploaded directly into CAREWare using the Provider Data Import.

Before importing the file to the state, log into the state server and make sure that the provider
import settings are set to Match CAREWare Values and Automatically Import Setup Data. If users want CAREWare to automatically process records that have been validated, they can also check the setting Automatically Process Imports.

Here are instructions for import settings.

To import that zipped file, follow these instructions:

  1. Log into the provider in the state server.
  2. Click Administrative Options.
  3. Click Data Import and Export Features.
  4. Click Provider Data Import.
  5. Click New Import.
  6. Click Choose File.
  7. Select the zipped file that was exported.
  8. Click Open.
  9. Click Import File.

Once the file is uploaded, the records can be validated, errors can be resolved, mappings can be completed, and the file can be processed by following the instructions here.
