Client Missing in Find Client Results

If a client is missing from Find Client results, there may be a few potential causes:
 

  • The client was merged. If a client is merged, the client records are temporarily missing in Find Client results until CAREWare completes the merge process. This should take just a few minutes. To review the client merge history to see if the client was recently merged, click here.
  • A URN field was changes. If the clients name or gender were changed, then that would change the search terms to find the client. Try searching by just first name, by just last name, or using Client ID if that is in use.
  • The client is no longer active. The Find Client window has a checkbox to only include clients that are active in search results. Try unchecking that and searching again.
  • The client has been deleted. To verify if a client was deleted, run the User Action Report or Search Change Details report under Administrative Reports. Click Reports and then Administrative Reports to access them.
  • The client is missing a custom field record in the database. CAREWare requires a client have a custom field record in the database for each provider. The client doesn't actually need a value entered for any custom fields, however in the database there needs to be a record for that client in the table cw_client_custom. To resolve any clients missing those records run the query here on the CAREWare database.
