Insurance assessments in CAREWare client records help case managers and medical staff meet the payor of last resort requirement under Ryan White. The information is also used for the Ryan White Services Report (RSR).
Insurance Reporting for the RSR
The RSR requires that all sources of medical insurance be reported for clients eligible and served with Ryan White and Ryan White-related funding. CAREWare includes fields for the client’s primary and secondary insurance. Providers can enter one primary insurance and multiple secondary insurances.
Custom Insurance Types in CAREWare
HRSA-defined insurance types are built into CAREWare. Providers can add custom insurance types through the Insurance Setup feature in Central Administration.
How to Add Insurance Assessments in CAREWare
1. Click on Annual Review in the left menu.
2. Click Insurance Assessments.
3. Click Add.
View: View the details of the selected record.
Add: Add a new insurance assessment.
Edit: Edit an existing insurance assessment.
Delete: Delete an existing insurance assessment.
Back: Return to the Annual Data menu.
Help: Access the user guide for insurance assessments.
Print or Export: Print or export a list of insurance assessment records.
Hide/Show Columns: Choose the columns to show in the list of insurance assessment records.
4. Complete the Insurance Assessment Date.
5. Select the client’s primary insurance from the dropdown.
NOTE: Other Plan is reported as “Unknown” on the RSR.
The following Insurance Assessments fields complete the RSR and ADR question:
- Insurance Assessment Date, Primary Insurance, and secondary insurances: Q.15 of the RSR Client’s health coverage and Q.13 of the ADR Client’s health insurance
6. Check the boxes for all secondary insurances for the client.
7. If “Other Plan” is selected for the primary or secondary insurance, complete the Other Insurance Specify field.
8. Click Save.
