Race and ethnicity are required for the Ryan White Services Report (RSR) and the ADAP Data Report (ADR). Race/ethnicity may also be used for custom reports and performance measures. Race and ethnicity in CAREWare includes race and ethnicity subgroups which are required for RSR and ADR reporting.

Ethnicity and Race Reporting Requirements
HRSA defines the specific data required for reporting race and ethnicity, as well as the acceptable responses for questions in the RSR and ADR. Currently, ethnicity data elements are limited to reporting if the client self-reports as Hispanic or Not Hispanic.
The RSR instructions include race groups of:
- American Indian or Alaska Native
- Asian
- Black or African American
- Native Hawaiian or Pacific Islander
- White
If providers are not certain of the HRSA-defined race group for a client’s self-reported race, the RSR and ADR instruction manuals provide details for each group.
Ethnicity and Race Subgroups in CAREWare
The RSR and ADR require Hispanic responses be accompanied with the specific ethnicity subgroup of the client. Based on HRSA definitions, if a client self-reports as Hispanic, CAREWare includes specific Hispanic subgroups based on RSR and ADR reporting requirements. Hispanic subgroups include:
• Mexican, Mexican American, Chicano/a
• Puerto Rican
• Cuban
• Another Hispanic, Latino/a, or Spanish origin
Two race groups include subgroups that are required for reporting, namely Asian and Native Hawaiian or Other Pacific Islander.
Asian subgroups include:
- Asian Indian
- Asian Chinese
- Asian Filipino
- Asian Japanese
- Asian Korean
- Asian Vietnamese
- Asian Other
Native Hawaiian or Other Pacific Islander subgroups include:
- Native Hawaiian
- Guamanian or Chamorro
- Samoan
- Other Pacific Islander
How to Add Race and Ethnicity to Client Records
1. In the client record, click on Demographics in the left menu.
2. Click on Race/Ethnicity.
3. Check the boxes for all of the client’s self-reported race groups and race subgroups, if applicable.
4. Select Yes or No from the Hispanic or Latino dropdown.
5. Check the box(es) for the ethnicity subgroup if the client self-reports as Hispanic.
6. Click Save.
