The Data Translation Module (DTM) can be used to upload reports from other medical record application and spreadsheets containing client level data. Those records can be imported once import settings are setup for the DTM process and a sample file for that type of import is mapped as a DTM Specification. Once the setup process is complete, CAREWare is ready to import the files using the Provider Data Import (PDI) process.
CAREWare has two options for importing DTM files. The first way is to import the DTM file manually like any other PDI file. This method requires the DTM file to be zipped alongside an exp_provider.csv file. Within the exp_provider file, there are three columns: prv_pk, prv_name, prv_source. prv_source refers to the Source Name located in import settings.
In this example, the Source Name is Default DTM and the Provider Name is Default.
In the exp_provider.csv file, that import setting would appear as shown here:
The exp_provider.csv file informs CAREWare which import setting to use.
That file is then uploaded using the PDI option New Import.
The other method for importing DTM files relies on a folder located on the CAREWare server. When setting up DTM specs, a source folder can be specified. This source folder imports any DTM file that matches the Search String set in the DTM Spec. When importing DTM files by dropping files in the source folder on the CAREWare server the exp_provider.csv file is excluded from the import process and the files can be placed unzipped.
In this example the source folder is C:/Program Files/CAREWare Business Tier/DTM Imports.
That folder is located on the CAREWare server in the CAREWare Business Tier folder.
As seen here, the csv file is simply placed in this folder or sent to the folder using a Secure File Transfer Protocol (SFTP). The folder and the search string informs CAREWare of which DTM Spec and import setting to use. The CSV file in this example has the word Lab in it, which is the Search String. That Search String value needs to be separate from any other text in the file label.
Example: The name of the file can be Lab First Quarter 2024.csv, however it cannot be LabFirstQuarter2024.csv. The Search String must be separated by a space for CAREWare to read it.
Both methods import the data into its respective holding tanks. The progress can be seen in the Import History.
Once a DTM Spec is created in CAREWare, that same configuration can be shared with other providers or other instances of CAREWare by exporting the DTM Spec and then importing it to the other provider or into another instance of CAREWare like a state server.
